Channel General Settings

You can update the following general settings of the channel:

  • Details: update the name and description, and set up urgency use and auto-deletion.

  • Admin Privacy: determine who can access, view or send messages to a channel.

  • Permissions: determine if message recipients can reply to the channel and if an admin should approve the channel messages.

  • Notification: enable the system to notify an admin when anyone sends a message.

  • Custom Attributes: Assign custom attributes to groups and channels to filter, search or export them as sets. You can also use them to sort message summaries or usage reports and get lists using the API.

  • Email Digest: Set up sending a single email digest enlisting all emails sent from the channel. When you enable the digest, contacts or subscribers stop receiving the regular emails and start receiving the digest at a frequency you choose. Email digests are sent at 06:00 p.m. local organization time zone. Contacts can enable receiving email digest from the contact profile.

Here is how you configure the general setting of a channel:

  1. Click the Channels tab. See the following image:

     

    The My Channels page opens.

  2. Search and locate the channel to update in the My Channels tab. The organization admins can edit channels on the All Channels tab too.  

  3. Click the name of the channel to open it.

    The General Settings page opens.

  4. Click the Name field to update the name of the channel.

    Note: You can copy the Token ID to manage RSS feeds and the channel ID while importing channels or sending messages using API.

  5. Click the Description to update it. The channel description appears on all public signup methods for subscribers to see.
  6. Click and enable the This Channel is for Urgency Use checkbox to prioritize all the messages sent from this channel.

    Tip: The system sends the urgency messages quickly.

  7. If you are making the channel for a limited period, click the Automatically delete this Channel checkbox. Select a date and time when the system must delete the channel. See the following image:

     

  8. To update Admin Privacy, click one of the following checkboxes:

    • Public - Allow all admins to view and send messages to this channel.

    • Restricted - Allow all admins to view and request access to this channel.

    • Hidden - Only admins with access can view or send messages to this channel.

  9. From the Channel Type section. Select either of the following two options to determine whether the system should receive replies from this channel's recipients.

    • Announcements Only: The system does not receive replies from this channel’s recipients using Email, SMS, or Mobile apps, and admins cannot view or manage them.

      Tip: When messaging an Announcement-Only channel, you could mention that your organization does not receive the recipient’s replies in the message body.

    • Open Discussion – The system will receive the replies from the channel’s recipients and can be viewed and managed by the admins.

      If you select Open Discussion, you can display replies on the Replies tab of the Sent Messages page, and you can forward them to channel admins, the message sender, and all channel recipients. Otherwise, you can send them to a custom email without displaying them on the Replies tab.

      Here is how you set it up:

      1. From the Reply will be forwarded as section, select a delivery method the system should use to forward the replies.

      2. In the Reply will be forwarded to section, you can select an option from the following to forward the replies:

        • The replies section of the sent message on the web and mobile app: Selected by default, this option enables the system to display all messages in the Replies tab of the Sent Messages page along with the facility to forward the replies.

          If you need to forward the relies besides displaying them on the Replies tab, click one or more of the following checkboxes:

          • Author of the message: The system forwards the replies to the admin who authored and sent the message.

          • All admins of the channel: The system forwards replies to the admin of the channel from which the message is sent.

          • All recipients of the channel: The system forwards the replies to all channel recipients using the delivery method you chose above.

        • Custom Email Address: You can enter a custom email address to which the system should forward all replies. This option will not display replies in the Replies tab.

  10. You can click the Require all posts to be approved by an admin checkbox to enable admin approval for sending messages. See the following image:

    Note: If you enable the automated NOAA alerts for this channel, The system sends the NOAA alerts without approval from the admins.

  11. Click the Notification checkbox to notify the admins when any admin sends a new message. 

  12. In the Custom Attributes section, you can enter or select the attribute value for each attribute your organization has set.

    Tip: You see this section only if your organization admin has set up the custom attribute. You use custom attributes to filter, search or export channels, message summaries and usage reports per channel set.

  13. In the Email Digest section, you can set up all recipients to receive a summary email instead of multiple emails sent from the channel. When you enable email digest for a channel, the contacts and subscribers stop receiving the regular emails and will only receive a single digest.

    Here is how you do it:

    1. Click the Subscribe all members to an email digest checkbox. See the following image:

      The frequency dropdown appears with the weekly frequency selected by default.

    2. Click the Weekly dropdown to select the frequency at which the recipient must receive the digest. The options are:

      • Daily Digest: subscribers and recipients receive the digest daily at 6 p.m. local network time zone.

      • Weekly Digest: subscribers and recipients receive the digest end of the week at 6 p.m. local network time zone.

      • Monthly Digest: subscribers and recipients receive the digest end of the month at 6 p.m. local network time zone.


        Note: Admins and contacts can select the email digest frequency in each contact's profile. However, the channel level frequency will overwrite the preference set in the contact profile. To set up the contact profile email digest, see Update Contact Profile.

    3. You can click Send an ad-hoc email digest to send a digest to all recipients instantly. Recipients who have opted for email digest at a specific frequency will continue to receive it at their selected frequency.

      Note: You can get the email digest reports in the Sent Messages section. The report contains the channel name, frequency, sent time, sent by name, email, resource name, type, status and sent time.

  14. Click Save Settings.
