Group Automation Overview
Use group automation to set up the system to create groups with the custom attribute filter values and combinations you create. The system scans contact profiles and adds contacts with the selected attribute values into a new group. You can scan contacts from groups or the entire organization.
You can schedule the frequency of group automation, and determine how the attribute filter should add or remove contacts. Membership of previously created groups is updated per the group-level custom attribute filters.
Use Case Example: If you choose the custom attribute Department as the grouping criteria, the system creates multiple groups for each department, such as IT, Marketing, Administration, etc. Contacts with any value for the Department will be added to the respective groups.
You can do the following in the group automation section:
Key terms of group automation are the following:
-
Custom Attribute Filter: It is the grouping criteria. Find attributes with values across all contacts so that automation adds all contacts to new groups. Use AND condition to screen the contacts into the group with more precision.
-
Group Name: The three parts of the automated group name are the value of the attribute, the name of the attribute and a name suffix of your choice.
For example, Marketing Department is the name for the attribute Department and users with Marketing as its value. The formula for the group name is {AttributeValue1} {AttributeValue2} {Name of the attribute} {NameSuffix}.
-
Group Nesting: You can select a parent group under which the system arranges all the newly created groups. Groups with different attribute values can become a child of the selected parent group.
-
Admin Privacy: You can determine who can view and request access to these groups.
-
Filter option: Determines if the periodic schedule of group automation should add or expel contacts when automation creates new groups. When the automation repeats per the frequency you set, the group membership is updated per the group-level custom attribute filter. To set up group-level custom attributes, see the topic: Manage Group Membership Using Custom Attributes Filter.
-
Schedule Setting: You can schedule when the group automation should occur. The repeated group automation adds members to the group and creates new groups.
