Multi-Factor Authentication (MFA)

Overview

Multi-Factor Authentication (MFA) is a security method that requires users to verify their identity using two or more authentication factors before accessing an account. Multi-Factor authentication adds an extra layer of security by requiring a time-based OTP during login. This reduces the risk of unauthorized access, even if user credentials are compromised.

Supported methods are:

  • TOTP Authenticator App (eg, Google Authenticator, Microsoft Authenticator, Authy)

  • SMS

  • Call

Set up Multi-Factor Authentication (MFA)

Follow these steps to configure Multi-Factor Authentication (MFA) using an authenticator app for your account:

  1. Click the profile icon in the top bar, then select My Profile from the dropdown menu.

    The My Profile page displays.

     

  2. On the My Profile page, scroll to the Multi-Factor Authentication section, then click the Set Up Authenticator App button.

    The Set Up Authenticator App page displays.

  3. Open an authenticator app on your device. If you do not already have one installed, download and install a supported authenticator app before proceeding.

  4. Scan the QR code displayed on the Set Up Authenticator App page using your authenticator app.

    After scanning the QR code, your Regroup account will be linked with the authenticator app, and a 6-digit verification code will be generated in the app.

  5. Enter the 6-digit code from the authenticator app in the Set Up Authenticator App page, then click the Verify and Enable button. Once verification is successful, multi-factor authentication will be enabled for your account. Now you can log in via MFA.

Log in using Multi-Factor Authentication (MFA)

Once the Multi-Factor Authentication (MFA) is enabled to your account, you can log in to your Regroup account using MFA.

Follow the steps to log in using MFA:

  1. Navigate to the login page.

  2. On the login page, enter your credentials and click Log In.

    The Two-Step Verification page appears, where you can select your preferred method for receiving the verification code.

  3. Select from any of the following options for receiving the verification code:

    • Send Code to Phone (SMS): Select this option to receive the verification code via SMS on the phone number linked your Regroup account.
    • Send Code to Phone (Call): Select this option to receive the verification code through a phone call on the number linked to your Regroup account.
    • Use Authenticator App: Select this option to generate the verification code using the authenticator app configured with your Regroup account.
  1. Enter the verification code received through your selected method, and then click Log In.

    Upon successful verification, you will be logged in to Regroup.


Best Practices

  • Do not use shared Regroup Admin accounts. Unlimited Admin licenses are included with all subscriptions.

  • Keep your authenticator app secured with a device passcode or biometric lock.

  • Do not share verification codes.

  • Set up MFA immediately after account creation.

  • Maintain an up-to-date phone number for SMS backup authentication.


Notes

  • Authenticator App MFA does not rely on email or cellular service.

  • Keep at least one additional MFA method enabled to prevent access issues.

  • If you lose access to your authenticator app, contact an Organization Admin for assistance.
