View and Update an Admin Profile
Overview
An admin profile defines an administrator’s identity, contact linkage, access scope, and multi-factor authentication settings. From the admin profile, you can update personal information, manage roles, assign group and channel access, configure message approval requirements, and configure multi-factor authentication (MFA). These settings control what an admin can access and how they authenticate when signing in.
Admin Profile Sections
Personal Info
Update the admin’s personal and contact details.
Link Contact Record
Link the admin profile to an existing contact profile so the admin can receive messages.
Roles
Assign or remove system roles that define the admin’s permissions.
Groups
Assign the admin to groups and manage roles within each group.
Channels
Assign the admin to channels, manage channel-level roles, and configure message approval requirements.
Multi-Factor Authentication (MFA)
Configure multi-factor authentication options, including email, SMS, and authenticator apps.
Access an Admin Profile

Select Organization Settings .

Open Admins & Roles from the left navigation.

Locate the admin using search by name or email.

Select the vertical ellipsis (⋮) on the right side of the admin’s row.

Open the profile menu and select View and Edit .
- Select Edit Profile .
Note: You can perform the profile management actions below only after selecting Edit Profile . Scroll as needed to access sections for contact linking, roles, groups, channels, and Multi-Factor Authentication settings.
Update Personal Information

In Personal Info , update any of the following fields as needed:

First Name

Last Name
-
Email Address
-
Username
-
Database ID
-
Phone Number
-

Save changes when finished.
Link or Unlink a Contact Record
Linking a contact record allows the admin to receive messages and switch between admin and contact profiles without signing in again.
Link a Contact Record

In Link Contact Record , select Link a Contact Record to this Account .

Search for and select the appropriate contact.

Confirm the link by entering the verification code sent to the contact’s email address.

Submit the code to complete the link.
Unlink a Contact Record
- Select Unlink Contact Record to remove the association.
Manage Roles

In Roles , open the Add Roles dropdown.

Select one or more roles to assign.

Remove a role by selecting the remove icon next to the role.
Roles define what administrative actions the user can perform across the platform.
Manage Group Access

In Groups , select the Add admin to a group dropdown.

Select a group to add it to the admin profile.

Assign one or more roles to the group.

Remove a group or role using the remove option.
Notes:
-
Selecting a parent group automatically lists its child groups.

Assigning a role to a parent group applies the role to all child groups. Roles can be adjusted individually if needed.

Manage Channel Access

In Channels section, search for a channel using Add admin to a channel .

Select the channel to add it to the admin profile.

Assign at least one role to the channel.
- Enable Require Approval if another admin must approve messages before they are sent.

Remove channels or roles as needed.

Save Changes
Multi-Factor Authentication (MFA)
Multi-Factor Authentication (MFA) is required for all admins. Each admin must complete MFA to verify their identity during sign-in.
Regroup supports the following MFA methods:

SMS : Sends a one-time code to the admin’s registered phone number.

Authenticator App : Uses time-based one-time passwords (TOTP) generated by an authenticator app such as Google Authenticator or Microsoft Authenticator.
MFA methods appear only if the required profile information is present:

SMS is available only when a phone number is configured.
-
Authenticator App is available only after setup is complete.

Save Changes
Select Update Profile to apply and save all changes made to the admin profile.
